The most important document is often the one no one sees. A short, factual file note captures what happened, what was agreed and what must happen next while the details are still clear.

Why it matters

If it was not recorded, do not assume it can be proved.

File notes support informed decisions, protect the owners corporation and committee, help future staff understand the history and give the manager a reliable record when memories differ.

One practical action

After your next material call, record the date, participants, key facts, advice or decisions, commitments, owner and due date.
